Founding pilot kit

Test the workflow with fictional data first.

This kit shows which scheduling report to use, which identifying details to remove, what the first review measures, and what counts as a verified result.

The sample contains fictional people and fictional financial values. It is not patient data.

One-page Raintree guide

Appointment Summary report checklist

Use this as the pilot setup sheet. Print or save this page as a PDF if your team needs a copy.

1

Choose the report

Open Scheduler → Appointment Summary Report. Select the location and a practical review window, normally the most recent completed week.

2

Select useful columns

Include schedule, status, future-visit, authorization, payer, and expected-charge fields. The exact minimum is listed below.

3

Download the spreadsheet

If Raintree asks for a file format, choose CSV. A CSV is simply a standard spreadsheet-style file. Keep the original column names so VisitRevive can recognize the report.

4

Create a privacy-safe copy

Never alter the clinic's original report. Make a separate pilot copy and remove patient names and other identifying details before sharing.

RequiredDate, Time, Patient #, Provider, Location, Appointment Status
Strongly recommendedAppointment Type, Cancel Reason, Future Appt. Count, Auth Remaining, Case Payor Name
Helpful for ROIEMR Ticket Expected Charge, Copay Amount, Missed Copay, Potential Over The Counter Collections
Remove before sharingPatient first/last name, phone, cell phone, email, DOB, address, subscriber ID, free-text comments
Stop before upload if the file could still identify a patient.

The public website and founding workflow are not approved for protected health information. When uncertain, use the fictional sample instead.

30-day guided pilot

One clinic, one workflow, four short reviews.

Week 0

Baseline

Confirm the scheduling report, remove identifying details from the pilot copy, define the workflow owner, and record the current recovery process.

Week 1

First queue

Review flags, assign actions, and correct obvious false positives before staff adoption.

Weeks 2–3

Work and learn

Track root causes, completed actions, restored visits, and unresolved barriers.

Week 4

Decision

Compare the result with baseline and decide whether the workflow saved time or recovered enough value to continue.

Success is measured by

  • Percentage of flagged patients reviewed
  • Time from flag to first action
  • Visits rebooked with evidence
  • Verified dollars recovered
  • Staff time and workflow friction
